Becoming Transformation Coaching LLC

Effective October 30, 2026

Becoming Transformation Coaching LLC, operated by Brenda Bauer in Missouri, explains here how we handle personal information through becomingtransformation.com, our forms, communications, and private and group coaching services. In this policy, “we,” “us,” and “our” mean Becoming Transformation Coaching LLC.

Brenda Bauer is the contact for privacy questions and requests. Email [email protected] or call (417) 409-2010.

Information we collect

We collect information you provide when you inquire about coaching, complete a form or quiz, subscribe to a newsletter, book a session, make a payment, or participate in coaching. This can include:

• Your name, email address, phone number, communication preferences, and messages.

• Quiz responses, goals, reflections, and information you choose to discuss during coaching, including information that may be personal or sensitive.

• Appointment details, coaching notes, participation records, and recordings where applicable.

• Payment and transaction information associated with purchases. Stripe processes payments; payment details submitted through Stripe are handled through its systems.

Our website and service providers may also collect technical and usage information, such as an IP address, device or browser details, pages visited, and interactions with the website. See Website analytics below.

How we use information

We use information to respond to inquiries; arrange and provide coaching; personalize conversations and resources; maintain coaching records; process payments; provide group materials; and communicate about appointments and services. We also use information to maintain our business records, address requests or disputes, and meet applicable legal obligations.

When you book a coaching session, we use your contact information to arrange the session and follow up about coaching. Booking currently adds your email address to our weekly newsletter list. After a Try a Coaching Conversation session, a follow-up series may explain ongoing paid coaching and invite you to book. This series uses mostly email, with an occasional SMS text message sent with the applicable SMS consent. We may also send invitations to schedule future sessions by email and, with the applicable SMS consent, by text message. Marketing emails include an unsubscribe link, and you may contact Brenda to unsubscribe. Email subscriptions and permission to receive SMS text messages are managed separately.

Providers that support our services

We use GoHighLevel, provided through Coach Core, to manage contacts, forms, scheduling, communications, and access to group course materials. We use Stripe for payment processing, Zoom for video sessions, and Google services for file storage and business administration.

These providers process information needed to support the services we use. Their own privacy notices and terms also describe how they handle information within their systems. Information may be processed in the United States or other countries where we or our providers operate.

Sharing and marketing choices

We do not sell or rent contact lists or share contact information with other entities for their own marketing. The service providers described above may process information as needed to support our business and provide the services you use.

We may disclose information when required by law or legal process, or when reasonably necessary to address fraud, protect safety, or establish or defend legal rights. We may share information in other circumstances when you direct or authorize us to do so.

Email and text messages

Marketing messages include communications that promote coaching services or encourage a new purchase, including an invitation to book paid coaching. Appointment confirmations and reminders about a session already arranged serve a different purpose. A message promoting another purchase may be marketing even when sent to an existing client. You can unsubscribe from marketing emails using the link in the email or by contacting Brenda. Marketing texts are sent according to the SMS consent you provide; booking alone is not treated as blanket permission for promotional texts. For texts, reply STOP to opt out and HELP for assistance, or contact us at the email or phone number above. Message frequency varies. Message and data rates may apply. We may still send necessary service or transaction communications through a permitted channel.

We do not sell or share mobile information, text-message opt-in information, or SMS consent with third parties or affiliates for their own marketing or promotional purposes. Providers supporting our messaging may process this information only as needed to deliver and support that service on our behalf.

We may keep a limited record of an opt-out so that we can continue to honor it. Withdrawing marketing consent does not require you to stop receiving coaching.

Coaching notes and AI tools

Brenda keeps digital coaching notes to support the coaching relationship. Brenda does not currently use AI to analyze coaching notes or generate session summaries. Zoom’s meeting summary and My Notes AI features are available in the account, but their automatic start is off. Smart Recording with AI is off.

Recordings and group participation

Private sessions are recorded only with specific permission. Recordings are normally saved in Zoom’s cloud. Group sessions may be recorded, and Zoom displays a recording notification. Group recordings are available only within the group’s course on GoHighLevel and cannot be downloaded by participants. Access is limited to participants with an active monthly subscription. When a participant cancels, Brenda removes their access to the course and its recordings. Recordings may include names, images, voices, and information shared during the session.

If you have concerns about being recorded or appearing in a group recording, contact Brenda before the session to discuss available options. Other participants may hear or see what you share in a group. Please respect others’ privacy; we cannot guarantee how another participant will handle information they hear or see.

Brenda does not maintain a separate transcript archive outside Zoom. Automatic recording and cloud recording audio transcription are off. Zoom can generate and retain a separate meeting transcript when meeting summary is used; automated captions are also available, and recording settings allow caption and chat files to be saved. Cloud recordings have no automatic deletion schedule. If AI summaries are created, the current setting moves them to Trash after 30 days. This policy does not itself serve as permission to record a session.

Website analytics

Our website uses Google Analytics to help us understand visits and use of the website. Cookies or similar technologies may collect device and usage information. Google Tag Manager is also installed; its current container does not deploy any additional tags.

You can manage, block, or delete cookies through your browser settings. Some website features may work differently if cookies are blocked.

Retention and deletion

We do not currently have one fixed retention period for all coaching records. How long information is kept depends on the ongoing coaching relationship, the purpose of the record, business and legal requirements, and any access or deletion request.

To ask us to delete information, email Brenda. A request may involve records in Google storage, GoHighLevel, Zoom, Stripe, and other relevant systems, rather than a single file. Some records may need to be retained for legal, accounting, payment, dispute, or opt-out purposes. Provider backups and records may follow different deletion schedules. We will explain applicable limits when responding to a request.

Security

We handle information through the third-party platforms described in this policy and rely on the security features those providers supply. We have not implemented additional custom security controls. No internet transmission or storage system is completely secure. Contact Brenda if you have a concern about the privacy or security of your information.

Young clients

Our website and public marketing are intended for adults. Coaching for someone under 18 is arranged individually. Before coaching begins, a parent or guardian is asked to complete our consent form. The information collected and any arrangements for access to notes or recordings should be explained before services begin. This policy does not automatically give a parent, referring professional, or other person access to a client’s coaching records.

Clients outside the United States

We are based in Missouri and have served clients in Canada. Information may be transferred to and processed in the United States and other countries used by our service providers, where privacy protections and government access rules may differ from those in your location.

Your requests and choices

You may contact Brenda to ask what personal information we hold about you, request access or correction, ask for deletion, change communication preferences, withdraw consent, or raise a privacy concern. We may need reasonable information to verify your identity before acting on a request. We will respond within the time required by applicable law and explain any lawful limitations.

Depending on the laws that apply to you, you may also have the right to complain to a privacy regulator. Contact us first so that we can try to address your concern; doing so does not remove any right you have to contact a regulator directly.

Outside links and changes to this policy

Our website may link to independent websites or services, including social platforms, assessments, and wellness resources. Their privacy practices are covered by their own notices. Review those notices before providing information to them.

We may update this policy when our practices or requirements change. We will identify the effective date of a published update and provide any additional notice or consent process required by applicable law. Questions can be sent to [email protected].
